Information you provide
The contact form asks for your name, email, company and project description. You can also provide your role, website, team size, revenue range, budget and service interests. Half-Day applications collect contact details, business information and your answers about the opportunity. We use these details to respond, assess fit, arrange conversations and discuss the work you requested. Required form fields are needed to handle that request; optional fields provide context.
Website activity and browser storage
We record first-party activity on public pages: the page path and title, referrer origin, campaign tags, device category, a random session identifier and whether a visit appears automated. These records help us understand use of the site and the source of enquiries. The application does not include full referring URLs or arbitrary query strings in these analytics records. Browser session storage holds the session identifier and first public landing page, referring hostname and validated campaign tags. Theme and accessibility preferences may also be stored in your browser. Hosting and media providers can receive technical information such as an IP address when your browser connects to them.
Why we use it
We use enquiry information to take steps you request before a possible engagement and to communicate about that request. Our legitimate interests include running our business, protecting the website and understanding whether its content is useful. Records may also be needed to meet legal obligations. Where a use requires consent, consent is the applicable basis and can be withdrawn. Contact us to discuss a particular use or to object where the right applies.
Services that process information
Vercel hosts the website. Supabase stores enquiries, applications and first-party website activity. Contact details may also pass through configured Make automations to support our response. The site loads fonts and may load embedded media from third-party providers; those providers receive connection information when their resources load. We use service providers to operate the site and handle requests. Client-project information is not made public through this notice or our public website guides.
Where information is processed
Providers may process information in the UK, Europe or other countries depending on the service and its configuration. Data location and contractual safeguards vary by provider. Contact us for details of the providers, processing locations and transfer arrangements relevant to your information.
How long it is kept
We keep enquiry and application information while needed to respond, arrange the requested activity or manage an ongoing business relationship. Retention also depends on any applicable record-keeping obligations, outstanding questions or disputes. We use those criteria to decide when information can be removed. Browser session storage is temporary to the browsing session; this does not determine how long submitted enquiry or analytics records remain on the server.
Your choices and rights
Depending on the information and the reason for processing, you may request access, correction, deletion, restriction or portability, object to processing, or withdraw consent. Email toby@optibee.ai with your request. We may need to confirm your identity before sharing or changing records. These rights can be subject to legal exceptions. You can also raise a concern with the UK Information Commissioner’s Office.
